Information we collect

When you ask about storage, we collect the information you give us, including your name, email address, telephone number, storage requirements, preferred start date, expected rental period and correspondence with us.

If you become a customer, we also hold information needed to arrange and manage your storage, such as your contact and billing details, agreement and payment records.

Our storage site uses CCTV. Images may identify customers, visitors and other people within the cameras’ coverage.

We receive enquiry information directly from you and images from our CCTV system.

Please avoid including sensitive personal information in a general enquiry unless we specifically need it.

Why we use information

We use enquiry details to understand your requirements, answer questions and prepare quotations. Where you are considering a contract with us, this is necessary to take steps at your request before entering that contract. For other enquiries, including those made on behalf of a business, we rely on our legitimate interest in responding to people who contact us.

We use customer information to arrange and manage storage, communicate about the service and administer payments. Our lawful basis is performance of our contract with you. Where you are a contact for a business customer, our basis is our legitimate interest in managing that business relationship.

We keep accounting and other records where necessary to meet our legal obligations. We may also use relevant records to investigate complaints, establish or defend legal claims and protect our business, relying on our legitimate interests in resolving disputes and protecting our rights.

We use CCTV for site security, protecting people and property, and investigating incidents. Our basis is our legitimate interest in maintaining a secure storage site.

Who receives information

Information is accessed by people who need it for their work. Where necessary, it may be handled by providers supporting our business, such as website and email providers, payment and accounting providers, and CCTV support providers.

Relevant information may also be shared with professional advisers, insurers, regulators or law enforcement where necessary and lawful, for example when dealing with an incident or legal obligation.

How long we keep information

We keep personal information for as long as it is needed to deal with your enquiry, manage your storage agreement and meet our legal obligations. When deciding how long to retain records, we take account of the reason they were collected, any outstanding complaint or claim, and applicable accounting and legal requirements.

Keeping information secure

We use appropriate technical and organisational measures to protect personal information and limit access to those who need it. No internet transmission or storage system can be guaranteed completely secure.

Your rights

Depending on the circumstances, you can request access to your personal information, correction of inaccurate information, deletion, restriction of its use or transfer of certain information to you or another organisation.

Your right to object: You can object to processing based on our legitimate interests for reasons relating to your circumstances. You can always object to the use of your personal information for direct marketing.

Where processing relies on your consent, you can withdraw it at any time by contacting us or using the relevant preference control. Withdrawal does not affect the lawfulness of processing before it was withdrawn.

Contact us using the details above to exercise a right. We may need to verify your identity. These rights are subject to legal conditions and exceptions; we will explain any applicable restriction when responding.

Information needed to provide a service

You can choose whether to make an enquiry. We need sufficient information about your requirements and a way to contact you to provide a useful response. If you become a customer, we need the details required to administer your agreement. Without necessary information, we may be unable to arrange or provide storage.

Complaints

If you have concerns about how we handle personal information, please contact us so we can investigate. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint.

Changes to this policy

We may update this policy when our practices or legal requirements change. We will take appropriate steps to bring significant changes to your attention.
